How It Works

📅 My Availability — Please Do This First
We cannot schedule a shadow day for you unless you select your available dates in the My Availability tab.
Please select multiple days if at all possible — the more dates you give us, the easier it is to find one that also works for your selected student. A judge with only one available date is much harder to match.
⚖️ Your Role
As a judge in the Gray Gavel Society Judge Selection Program, you will review résumés submitted by Drexel University undergrad students and rank your top three choices. Each judge independently selects students — there is no right or wrong answer. Your instinct and professional experience are the only criteria.
🟢 Profile Status Dots
Every student card has a colored dot next to their name showing how complete their submission is:
Green — Profile fully complete and résumé uploaded. Ready to review.
Yellow — Some information filled in but incomplete. May be missing résumé or details.
Red — Account created but profile barely filled in.
🏆 Ranking Your Top 3
You can rank up to 3 students in order of preference:
#1 First Choice — Your top pick. This is your primary selection.
#2 Second Choice — Your backup if your first choice is taken.
#3 Third Choice — Your third option if both above are taken.
To rank a student, click "+ Rank #1" (or #2, #3) on their card. You can remove or change rankings at any time before the deadline.
🔒 "Taken" Students
If a student shows Taken on their card, another judge has already selected them as their #1 choice. You can still rank them as your #2 or #3, but they will not be available as a primary selection. The program coordinator will handle any conflicts.
👤 Viewing Student Profiles
Click View Profile on any student card to see their full profile including their personal statement, background, and a link to download their résumé PDF. Take your time reviewing — there is no rush.

⏳ Selection Deadline & Random Assignment
All judges are expected to rank their top 3 students before the submission deadline. If you have not made your selections by the deadline, you will be automatically and randomly assigned an unselected student.
To avoid random assignment, please complete your rankings under Browse Students before the deadline. The deadline is set by the program coordinator and will be visible on this portal.

When on, only @drexel.edu email addresses can create student accounts.

When on, students who were not selected by a judge will see a closure message on their dashboard letting them know the cycle is complete.

⏰ Submission Deadline
Set a deadline date. Applications close at 11:59 p.m. Eastern Time on that date. After the deadline, students will not be able to create accounts or submit résumés. The homepage displays this date automatically.

📣 Student Announcement Banner
Shown at the top of the sign-in page when it's in Student Portal mode — use it to announce when applications open or close.
📣 Judge Announcement Banner
Shown instead of the student one when a visitor is on the Judge Portal (invite link or returning judge login) — use it for judge-specific reminders, like the ranking deadline or scheduling.
Scheduling & Notifications
📅 Scheduling Dates
Enter available shadow day dates one at a time, or add a whole range at once. Selected students and judges will be asked to check which dates work for them.

Get an email notification when submissions reach a milestone.
Archiving
🗓️ Start a New Year
When the program year is over, archive the current cohort and start fresh. All student profiles and judge selections will be saved under the current year for future reference.
A CSV backup of the current cohort downloads automatically right before anything is deleted.
🎲 Random Assignment
Judges with no picks made at all will be randomly assigned an unselected student. This ensures every judge is matched. Judges who have made at least one pick are left as-is.
🔗 Manual Match
Directly assign any student to any judge — a manual backup for cases the random tool doesn't cover. This overwrites that judge's current #1 pick.

About Our Program
The Gray Gavel Society is a student organization at Drexel University dedicated to preparing aspiring legal and pre-professional students for careers in law, advocacy, and public service.
Through our Judge Selection Program, accomplished judges review student résumés and each selects one student to spend a day in their professional world — giving students an invaluable, real-world experience they cannot get in the classroom.

A currently enrolled, declared Drexel undergraduate law major
Interested in law or public service
Able to commit to the shadow day if selected
Then:
Create an account using your Drexel email and complete your profile.
Upload your résumé before the submission deadline.
If selected, attend the required review session and coordinate your shadow day.
